The Business
Optimus Realty is the Chicago property-management company George runs — 800+ rental units across a portfolio of residential buildings, managed by a lean team that handles everything from tenant communications to financial reporting.
What Was Breaking
The team was drowning. Tenant communications consumed hours every day. Work orders were dispatched by hand. Late-rent tracking lived in spreadsheets updated weekly at best. Compliance paperwork under Chicago's rental ordinance was a constant source of risk. A handful of people could not scale to 800+ units without something giving.
What We Built
A team of AI agents, each with a name and a job: communications, work-order triage, delinquency tracking, compliance drafting, financial reporting — working inside the tools the team already used.
The agents were built one workflow at a time, out of necessity, not a business plan. They handle real tenant data under strict privacy controls, on infrastructure we control. Nobody was replaced. The repetitive load moved to the agents; the judgment calls stayed with people — and every notice, reply, and document is approved by a human before it goes anywhere.
What Changed
- Work orders are triaged daily instead of piling up in one inbox
- Delinquency is tracked continuously, with past-due notices drafted for human review
- Compliance documents under Chicago's rental ordinance are drafted with the correct lease clauses quoted, then checked by a person before service
- Communications are sorted every morning, with replies drafted and approved before sending
- Financial reporting is consolidated across the full portfolio

What Still Needs Humans
Plenty. The agents draft; people approve. Some weeks an agent gets something wrong and a person catches it — that is the design working, not the design failing. Anything involving a tenant in distress, a legal judgment call, or money moving gets a human decision, every time.
We tell you this because it is the part the sales pitches leave out, and it is the part that makes the whole thing trustworthy enough to run a real business on.
